1. The diploma file
As described above, your diploma file consists of the diploma, a diploma supplement with the details of your study programme and a general explanation about the organisation of Flemish higher education. The diploma supplements are done up by the respective faculties and passed on to the diploma administration. The diploma administration takes care of the corresponding diploma, signed by the rector, and composes the diploma file. As soon as the diploma file is ready it is sent to your legal address by registered mail (unless there is another agreement with the faculty or institute concerned). The diploma file is generally delivered around 6 months after the end of the academic year in which you graduated. For certain programmes (for example law, medicine and the Phd*) the diploma files are available sooner in line with certain legal requirements. Pending the availability of the diploma, you can obtain a preliminary certificate from the student administration in your faculty. Your can use this certificate for job applications or for enrolment at another institution. * PhD-diplomas are only delivered after the library has received two copies of the doctoral thesis. 2. The duplicate The diploma file is a unique copy. We can never deliver a second authentic file, even in case of proven theft or in case of force majeure (for example fire). For diplomas obtained from 1992-1993 onwards it is possible to receive a single duplicate. This requires a written motivated request and a payment of € 40 per diploma. The request can be sent by email. After your request has been approved you will receive further instructions for obtaining the duplicate. Please take into account that the delivery time is approximately 10 working days (excl. shipment). It is not possible to receive a duplicate of diplomas obtained before 1992-1993. We can, however, provide a certificate stating that you obtained the degree. Always keep your original diploma file somewhere safe and make some copies in advance. If necessary, the diploma administration can certify the copies when the copies are presented together with the original. The diploma administration does not provide copies. 3. Translation An English translation of the diploma file obtained from 2007-2008 onwards is always delivered free of charge together with the Dutch diploma. Diploma files obtained from 2008-2009 onwards are bilingual (Dutch ànd English). Upon request (in writing) a single English translation of the diploma file is delivered free of charge for diplomas obtained from 2005-2006 to 2006-2007. We can only deliver an English translation of the diploma itself for diplomas obtained from 1992-1993 to 2004-2005. If you need a translation of the corresponding diploma supplement or of an older diploma you will have to ask a translator. English translations are free of charge but are delivered only once. Please take into account that the delivery time is approximately 10 working days (excl. shipment). Keep the original translation with the original diploma and make copies when needed! Some foreign universities and institutions require an official translation by a sworn translator. You can obtain addresses at the court of first instance.
