Practical information about registration
Deadline
The deadline for registration is 15th September 2025. Please understand that we cannot accept any registration after this date, except for very extraordinary circumstances.
Registration fee
Upon filling out the registration form, you will be invited for online payment of your registration fee via the trusted platform MultiSafePay. Your registration will only be accepted and finalized after payment of the registration fee.
The registration fee includes access to all sessions, catering during the lunches/breaks and the conference diner.

The registration fee also includes the conference dinner on Friday 24/10/2025, but you must confirm your attendance in advance via the registration form. You can bring an additional person (non-conference attendee) to the gala dinner for the cost of € 80.
ECRA membership
If you wish to apply for ECRA membership together with your registration, please fill out this application form (.pdf, 121 kB) and return it via e-mail to Prof. Dr. Ingolf Pernice (president@ecra-np.org). Cancellation policy
Registrations become valid only after confirmation and upon payment of the registration fee. There will be no refund of the registration fee after your registration is confirmed.
Priority for participants - maximum capacity
Given the limited size of the available rooms, we are bound to limit the number of participants to a maximum of 180. Priority will be given to:
- Participants having submitted an abstract or project and being selected for presenting at the conference
- ECRA members and representatives of patient advocacy groups members of ECMTF
- Interested scientists who have not submitted an abstract, or whose abstracts were no accepted (with a quota of 50% for “next generation” researchers: students and postdocs).
Photos and videos at the event
We will take pictures and also provide for a life-stream and video-takes published on YouTube of selected sessions of the conference. With your registration we assume that you agree with your picture to be published through social media, journals etc., unless you have expressed your disagreement in a written note to the organisers.
Accomodation
Each participant is responsible for booking their own hotel / accommodation. We offer a discount of 10% through our partner Antwerp Convention Bureau.
- Go to the online booking tool
- First enter your code UAACB19 (in capital letters) and click on ‘Search’
- Then enter the arrival and departure dates and click on ‘Search’
- You’ll see an overview of all available hotels and their Best Available Rate -10%, at that moment, including any cancellation conditions
- Choose a hotel and book your room
