Full-time Coordinator (100%)
The ideal candidate thrives in complex, multi-stakeholder settings, can navigate multi-party communication with ease, and is comfortable working both independently and collaboratively in a dynamic international research environment. In this role, you will coordinate vaccine trial projects under the supervision of the Project Lead and Department Head. You will play a key role in ensuring the smooth administrative, logistical and operational management of international clinical research projects, working closely with researchers, consortium partners and other stakeholders. This position offers the opportunity to contribute to innovative research with the potential to improve global health. Position
- Coordinate the administrative and logistical follow-up of research projects in the Global South, including monitoring project deliverables and coordinating the submission of reports and ethics documentation, in close collaboration with the Project Lead and Principal Investigator.
- Provide administrative and logistical support to the UAntwerp staff and project partners.
- Serve as the primary point of contact for consortium partners, funders, the study team, stakeholders and regulatory authorities, and coordinate project meetings.
- Facilitate effective collaboration, meetings and communication within the study team and across consortium partners.
- Coordinate the preparation and submission of progress reports for funders, stakeholders and regulatory authorities.
- Consolidate and prepare internal and external reports based on input from the financial coordinator, Project Lead and project partners.
- Monitor project timelines, milestones and deliverables throughout the different phases of the project and report potential delays timely to the lead project manager.
- Coordinate the preparation and submission of regulatory and ethics documentation in Belgium and oversee submissions by partner institutions in collaborating countries.
- When applicable, coordinate or provide training for project team members on project procedures, good practices and regulatory developments.
- Coordinate logistics for trial sites and liaise with vendors and suppliers regarding study materials and services.
- Identify project risks and operational issues, escalate them where appropriate, and contribute to the development and implementation of mitigation measures.
- Maintain project documentation and ensure compliance with funder, institutional and regulatory requirements throughout the project lifecycle.
- When applicable, support the development of new project proposals, including budget preparation and operational project planning.
- Coordinate project meetings, including the establishment and functioning of a Data Safety Monitoring Board (DSMB) or equivalent oversight mechanism for clinical studies.
Profile
- A master's degree in a relevant discipline, like public health or management.
- Preferably 2-5 years’ experience in clinical research, project coordination, or a related field.
- Basic understanding of clinical trial processes, including participant recruitment, data management, and regulatory requirements.
- Strong organizational and time management skills, capable of handling multiple tasks and deadlines.
- Excellent communication skills, both written and verbal, for effective interaction with team members, stakeholders, and regulatory bodies.
- Advanced knowledge of English, (very) good knowledge of French and Dutch.
- Attention to detail to ensure accuracy in documentation.
- Good proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Ability to coordinate and work effectively across multidisciplinary and multicultural teams.
- Problem-solving skills to address challenges that arise during trials.
- Adaptability and flexibility to handle changing priorities and demands.
- Ability to navigate cultural differences with sensitivity, respect, and professionalism.
- Eagerness to learn and develop professionally within the field.
- Proactive attitude and willingness to take on new responsibilities and challenges.
- Willing to travel to partners and trial settings located in the Global South, if required.
What we offer
- Working in an intellectually stimulating, international and interdisciplinary research environment, with room for personal initiative;
- You will work closely with and under the supervision of the project lead and Department Head;
- A fixed-term contract of 12 months for 1 FTE position, with the possibility of an extension after positive evaluation and continuation of project funds.
- Start date: ASAP, but September 1st 2026 at the latest;
- You will receive a gross monthly salary of pay scales1 - 9.1 of the Administrative and Technical Staff (ATP). Your entry-level grade depends on your relevant professional experience. More information on our pay scales and other benefits can be found here on our website.
- You get meal vouchers, eco vouchers, internet connectivity allowance, group insurance, guaranteed income insurance, and bicycle allowance or full reimbursement of your commute by public transport.
- You will primarily work at the University of Antwerp, GHI office, in a dynamic and stimulating environment. The role also includes occasional travel, approximately 3-5 times per year, with short-term stays of about 1 week in the DR Congo (or other relevant locations).
