What?
Students with a functional impairment can request special facilities during their studies and/or exams if they have a valid certificate.
The Study Advice and Student Counselling Service's care coordinator acts as the contact person and coordinator. You can ask the care coordinator to contact your lecturers and assistants on your behalf to notify them of your situation and ask them to adapt their lectures and exams accordingly. Some options include spreading the exam load, providing you with oral instructions during written exams, allowing more time for exams and so on. Your classmates can also assist you and your care coordinator can act as an intermediary. For example, by providing transport to and from campus, sharing notes, providing practical assistance and so on.
The Study Advice and Student Counselling Service work with the faculty coordinator for special facilities, the ombudsman and the education secretariat to meet your needs as far as possible. This does not mean, however, that all requests will always be granted.
The procedure below applies to all requests for special facilities.
How?
1. To make a request, fill out the online application form. If you need access to special facilities during the first semester, you need to submit your application by 1 September, 6 October 2017 at the latest. If you wish to apply for these facilities during the second semester, then you will need to submit your application by 23 February 2018 at the latest. Please submit your application on time to make use of special facilities during the semester in question.
2. After submitting your request through the online application form, you will receive an email to contact the Study Advice and Student Counselling Service for an appointment to discuss the options available to you. Make this appointment as soon as possible, preferably before the semester starts. Your care coordinator will also inform you about the attests needed for each specific impairment:
- Physical impairments (auditive, visual or motoric) or chronic illnesses
- Learning impairments (dyslexia, dyscalculia)
- Concentration problems (ADHD, ADD)
- Autism spectrum disorder
- Tic disorder
- Developmental coordination disorder
- Stuttering
- Developmental dysphasia
- Mental health problems
- Multiple functional impairments
3. Once your attest has been approved, you will receive email confirmation of special facilities to be offered by the faculty from the Committee for Reasonable Adjustments.
4. The special facilities requested by you might not be relevant for every course in the study programme. You will thus need to confirm this via SisA for each course you are enrolled in:
- between 16 July and 15 November for first semester courses
- between the start of the second semester and 15 March for second semester courses
- between 1 and 15 July for the second exam session
A printed summary of these special facilities per course along with a copy of the confirmation email from the Committee for Reasonable Adjustments is required each time you want to make use of the special facilities, for example during an exam.
5. The email confirmation of special facilities will be valid throughout your academic career, if you have a valid attest. Students with a temporary attest must renew their request. For more information, please contact your care coordinator.

Care coordinators
Care coordinators should be your first point of contact when requesting special facilities. They can also provide support or follow-up regarding practical matters. They will help you discover how best to make use of all the student services and other facilities such as the library, student restaurants, computer rooms and so on.
They can also help you draw up an application for financial support from the Flemish Agency for Disabled People or put you in touch with aid organisations and self-help groups. The Office for Student Affairs is often involved in this process too.
