Application process & documents required?

Before starting your application, please read carefully trough the eligibility criteria and follow the steps below:

Applications are must be done through our application tool Mobility Online. After each step in the tool, you will receive an e-mail with instructions for the next step. Don’t forget to check your spam folder if you didn’t receive an email.

NOTE: Read all the information provided on our website before starting your application!

STEP 1: Collect the following required documents to be uploaded in the application tool, Mobility Online before the start of the application: All documents must be in PDF format

  • a CV (max. 2 pages)
  • a support letter (from your supervisor) in which the following issues need to be addressed: 1) the relevance of the EBQ course for the applicant and the institute, 2) confirmation that the applicant will return to his/her current position within the institute after completion of the course.
  • an English proficiency document: TOEFL or IELTS certificate or proof from your educational institute of a university level degree taught in English.
  • Declaration form (pdf - 201 kB): download at the bottom of this webpage
  • Copy of your passport
  • passport picture with the following requirements: 
    • the face should be the main part (this is at least 2/3rds) of the photo
    • the eyes and face should be clearly visible (frontal view)
    • too much facial shadow should be avoided
    • the background should not contain other objects or interfere with your face (use a plain background)
    • the photo should have enough contrast and not be under- or overexposed
    • the photo should not be out of focus, optically distorted or contain unnatural features
    • do not use a photo which was stamped or has text or lines on it (e.g. from a passport)
    • avoid that the photo is surrounded by too much white space (crop the photo)

STEP 2: Fill out the first page of the application form (link below) - after submission you will receive an e-mail to register in Mobility Online

STEP 3:  Register yourself in Mobility Online following the guidelines sent by e-mail 

STEP 4: Complete all necessary steps in Mobility Online before the deadline

Selection Process

The application deadline is March 31st, 2026

  1. Academic eligibility: participants will be screened and shortlisted based on their academic qualifications, motivation, reference, CV and current research. This shortlist will be made by the beginning of May 2026.
  2.   In the 2026 edition we are able to provide a very limited number of scholarships for applicants from all Low- and Middle-Income Countries (LMICs) provided they are officially registered as PhD students and are actively working on a research project with a clear empirical component. For those applying for a scholarship, a shortlist will be made by our academic staff. Please note that the number of scholarships is highly limited, hence very competitive. Further details on scholarship coverage are provided in the scholarship section below.
  3. By the end of May 2026 all applicants will be informed of 
    • their admission to the course and 
    • the decision regarding their funding application (if applicable).
  4. Some candidates will be added to a reserve list. A candidate from the reserve list shall be contacted only in case one of the selected candidates is prevented by health or other reasons from attending the  course. The ranking of the candidates on the waiting list is according to priority. However, it is possible to give priority to a lower ranked person on the waiting list, in order to maintain a regional and/or gender balance and/or in order to have a greater to chance to receive a visa in a timely manner.

Course fee

The participation fee for the 6 week course is ONLY 3000 Euro

This fee will cover the followings:

  • Participation in the course during the 6 weeks
  • Lunch on all course days
  • A social programme
  • Didactic materials

The fee does NOT cover travel costs, accommodation, or other meals outside lunches on course days.

  • The course fee must be paid in full by 1 August 2026 in order to confirm participation in the training. After that date, your place may be offered to those on the waiting list. Cancellation of attendance after this date may also lead to the loss of all or part of the course fee if no legitimate reasons.  
  • There is an online tool to give you an idea of the living expenses in Belgium.

If you are awarded a scholarship, it will cover the following costs

  • Course fee
  • A return air ticket
  • Travel and Health insurance coverage
  • Accommodation for 6 weeks
  • A small daily allowance
